This guide explains each security and access setting in the system, including its purpose, where it’s found, the available options, and typical use cases.
Setting: Tenant Supervisory Setting
Purpose:
Notifications routed to the direct supervisor. Supervisors only have access to the people they are tied to through the supervisor file.

– Supervisor file is used to manage supervisor-based notifications without limiting access to records.
Restrictive
– Allows the supervisor to view all members in their group but prevents group members from viewing the supervisor.
(For Restrictive to work, “All Persons Access” must be set to “No” for the supervisor role.)
Setting: All Users in this role have access to all persons at their location
Purpose:
Toggle classes/supervisor group settings vs See all persons who have a record at their location(s)

Options:
On
– Role has access to records for all students and staff at the location.
Off
– Role has access only to students/staff aligned to them in the Groups and Classes data (from SIS or Supervisor file).
Setting: Listings / Profile Search / Quick Profile Search
Purpose:
Dashboard cards that allow the user to view records for people other than themself.
Where to Find It:

Options:
On
– If the card is added to the dashboard for the user’s role, they will see people aligned to them through Groups and Classes, Relationships, or SIS Classes.
Off
– Users will only be able to navigate to records for themselves.
Setting: Records will be displayed across all locations person is assigned.
Purpose:
Automatically add the person/record to the listings card for all locations the person is connected to.

Setting: Auto Create Record
Purpose:
Automatically create a record for all people in the limited roles setting.

Purpose:
Records can only be created for these roles.

Purpose:
Controls which records the role has access to.

Ability to search the “Add” screen and add a new record for a person.

Setting: Users in this role are assigned to all locations
Purpose:
Users have access to forms within all locations. The users’ records are available from all locations.

Purpose:
Ability to see persons who are preregistered, active/inactive, and transferred out.

Purpose:
Allows users to add, remove, and arrange the cards on their dashboard.

Purpose:
Allows users to manage user accounts (roles, locations, user account details, linked accounts). Allows admin users to manage person records for students, parents, locations, and staff.
