Before Using Gridview Records Management
1. The role must have access to the form as well as Role can manage records in grid view checked
within the Form Rights card in Form Management.
How to Access Gridview Records Management
2. If applicable enter your search parameters and click Apply on Listings or select a previous Saved
Search prior to entering the gridview module.
3. In the ellipsis in the top right corner of the Listings card select Grid View.
4. Once in the gridview module the edit icon can be selected if different fields are required.
5. After selecting the above edit icon toggle specific fields to update columns and click save in the bottom
right. The fields must already be flagged for gridview data entry. If the field is not showing as available
in edit mode, request the field to be added to your district lead.
6. Once you have the layout required for records management all students can be selected by clicking the
checkbox next to Name in the first column or select individual students checkboxes. The green icon for Manage Records will then display.
7. Click the Manage Records green icon for the Manage Records popup to display. Three options are
available, Create new record(s), Set status of selected records(s) and Change description of selected
record(s).
If using the Create new record(s) option you have the additional options to clone data, update the new
record description and update the new record status for the records selected.
If using the Set status of selected record(s) option you can either update all records selected to
Locked or Active status.
If using the Change description of selected record(s) option you can change the description of the
selected records which displays in record history.
Once the option is selected click Apply.
A popup will appear to confirm the process completed successfully.
8. Close the Manage Records popup window and return gridview for additional records management and
click home if returning to the Listings.
