Clevr Help Guide: Using the Record History Audit Log

Overview

The Record History Audit Log is a powerful tool within the Record History module of Clevr. It enables users to track all edits made to a record, making it especially useful for troubleshooting saving issues. 

How to Access

1. Navigate to Records > Record History
2. Look for the clock icon on the left side of the table to access the Record History Audit Log. 

Default and Custom Views

  1. Default View: Displays the most recent change made to each field.
  2. Recommended View: Set the view to 'Date Range' to see all edits made to all fields. This provides a comprehensive log of changes. 

Features of the Audit Log

  1. Field-Specific Tracking: Updates are tracked for each specific field on the form. 
  2. Descriptions and Elements IDs:
    1. Fields with a description attribute will display the description within the module. 
    2. Multiple fields may share the same description; always double-check the element ID number. 
    3. For fields without a description, you much search using the element ID number. 

Finding the Element ID

If you are unsure of the element ID:
1. Trigger a change to the field on the form. 
2. Note the element ID number associated with the change. 

Viewing Edits

  1. Collapsed Edits: By default, edits are collapsed to save space. 
  2. Expanding Edits: Click the bold, underlined label to expand and view the full details of an edit. 

Searching for Edits

1. Ensure 'Record Changes' is set to 'Date Range'. 
2. Use the keyboard shortcut CTRL+F to open the search function.
3. Enter the last four digits of the element ID number to locate matches. 
4. Items in collapsed sections will not appear in search results; expand each section to locate the relevant data. 

Troubleshooting Missing Data

If you cannot find specific edits:
  1. Ensure all relevant sections are expanded and thoroughly searched. 
  2. Missing data may indicate that the form entry was made offline or without an internet connection, preventing it from saving to the database. 
  3. Notify the client about the issue and close the ticket if no additional resolution is possible. 

Combining Logs for a Comprehensive Review

Use the Record History Audit Log alongside the Login Audit Log to gather a complete picture when troubleshooting saving issues.
