Generating Reports from the Home Page


The Reports menu allows you to generate pre-designed documents using the records currently filtered on your Home Page. Clicking the icon reveals a list of available reports; if the button is disabled, no reports are currently assigned to the form you are viewing.

Configuring Report Settings

Selecting a report opens a configuration window where you can refine how the data is processed.

Parameters and Record Count


If a report requires extra information (like a specific date range), those fields will appear in the Parameters section. If no extra input is needed, it will simply state "This report has no parameters".

At the bottom-left of this window, you can see the Record Count (e.g., 21 record(s) selected). This count is based directly on your Home Page filters, ensuring the report only includes the people you've currently searched for.

Choose how you want to receive your data using the Output dropdown:
  1. Preview: Opens the report in a popup window for immediate review.
  2. PDF: Generates a finalized document and unlocks advanced organizational features.

Advanced PDF Settings

When choosing the PDF output, you gain access to extra tools for security and organization:

  1. Password Protect: You can set a password that must be entered to open the resulting file.
  2. Generate Individual Reports Per Person: This setting splits the report data by individual. Instead of one long document, Clevr creates separate files for every person and packages them into a single ZIP file.
    1. Note: This is perfect for individualized student reports, but it is not recommended for aggregate reports (like heat maps), as it will break the combined data into disconnected files.

Customizing File Names

When generating individual reports, you can control how each file is named to keep them organized.
  1. Prefix and Suffix: You can type custom text that will appear at the very beginning or end of every file name.
  2. Dynamic Identifiers: Use the dropdown to choose how to identify each individual, such as by name or ID number.

The Preview interface provides several tools to examine and save your report:
  1. Viewing and Navigation Tools:
    1. Page Navigation: Use the arrows in the toolbar or the Left and Right arrow keys on your keyboard to flip through pages.

    2. Zoom Controls: Click the plus (+) or minus (-) icons in the toolbar to adjust the size, or use the + and - keys on your keyboard for quick zooming.

    3. Screen Size: Use the dropdown to fit to the Whole Page or click the brackets icon for a full-screen view.

  2. Search: Click the magnifying glass to search for specific text or names within the document.

  3. Print and Save:

    1. Printer Icon: Sends the report to your local printer.
    2. Disk Icon: Use the dropdown to save the report to your computer as a PDF, an Image, or a CSV (ideal if the report contains a data table you want to open in Excel).
